Front office

Receptionist.

Live, supervised rollout

Working in a customer environment, with a person supervising.

Reports to
Your front desk

Answers website chat and voice, and can answer your main line, book appointments and hold calendar slots. You choose which of these it does.

01 / The assignment

A clear job. A named supervisor.

A clinic receptionist checks paper messages beside a telephone at the front counter.

We hire this worker to answer your website by chat and voice when your front desk cannot. It greets every caller, says it is automated, answers questions about your hours and services from the information you approve, and collects the caller's name and phone. It can also answer your main phone line, book appointments and hold calendar slots. You choose which of these it does, and whether bookings need staff approval first.

02 / Scope of work

What it does.

  1. Answer chat or voice on your website, and calls on your main line if you turn that on. It says up front that it is automated.

  2. Answer common questions about hours and services using only information you have approved.

  3. Collect the caller's name, phone number and the reason for the call.

  4. If you turn it on, book appointments and hold calendar slots by your rules, with your approval where you require it.

  5. Take a message when a question is outside what it is allowed to answer, and queue a callback for your staff to approve.

  6. Tell anyone describing an emergency to call 911.

  7. Send your front desk a short summary of each conversation.

03 / Tools and information

Works where the job lives.

Access and permitted actions are agreed during setup. Only the information and systems this job needs.

  • Your website chat and voice

  • Your main phone line, if you choose

  • Your calendar, if you choose

  • Your message inbox

04 / Safeguards and supervision

Built with
boundaries.

These limits are part of the job description.

Reports to

Your front desk

What it will never do

  • Give medical advice or comment on symptoms or treatment.
  • Book outside the hours, services or rules you set.
  • Pretend to be a person. It tells visitors it is automated.
  • Quote prices or make promises you have not approved.
  • Keep talking with someone describing an emergency. It tells them to call 911.

Hands to a person

  • New bookings and calendar holds, with names and phone numbers
  • Messages it could not help with
  • Callbacks waiting for approval
  • Any urgent or out-of-scope visitor, flagged right away

Approval and follow-through

Your staff see every booking and approve every callback. You choose what it does and which bookings need approval first.

05 / A week on the job

The shape of a working week.

A typical week.

  1. Mon

Answers the Monday morning rush of calls and website chats, books the open slots and leaves the front desk a list of names and phone numbers.

  2. Tue

Takes messages about something outside its approved answers and flags two as urgent.

  3. Wed

Handles website chats and voice questions after hours and leaves a summary for the morning.

  4. Thu

A caller asks for a time that is taken. Where booking is on, it offers the next open slots and books the one they pick.

  5. Fri

Sends the front desk a short end-of-week list of messages still waiting for a reply.

06 / In practice

You set the level of supervision.

The role's boundaries stay in place at every setting.

Supervision

Website chat, voice and email, plus your main line and calendar if you choose.

Pick a setting to see which steps still go to a person. What a worker may do on its own is agreed during setup.

We sit with your team and draw how this job moves today. You keep the map.

Your team reviews everything before it goes out, and we adjust the rules each week.

09 / Questions

Before you bring it on.

What does an AI receptionist do?

It answers your website by chat and voice, tells callers it is automated, answers questions about your hours and services from information you approve, and collects the caller's name and phone. It can also answer your main line, book appointments and hold calendar slots. You choose which of these it does. When it cannot answer a question, it takes a message for your front desk. It does not guess.

Will people know they are talking to an AI?

Yes. The Receptionist tells every visitor it is automated at the start of the conversation. It also tells them it is not a person if they ask.

Does it answer my main phone line?

It can, if you turn it on. It can answer calls on your main phone line as well as chat and voice on your website. You choose which channels it covers.

Can an AI receptionist give medical advice?

No. It does not give medical advice and does not comment on symptoms or treatment. If someone describes an emergency, it tells them to call 911. For anything else outside its approved answers, it takes a message for your staff.

Does the AI receptionist book appointments by itself?

Yes, if you turn it on. It books appointments and holds calendar slots by your rules, such as hours, services and lead time. You can require staff approval before a booking is final.

What about privacy and compliance?

Bring your requirements to the free 30-minute call. We do not claim any certification, and we agree in writing what is kept and who can see it.
